Aeon Technology Partners Demands Anytime, Anywhere Visibility into Client Projects; Innotas Delivers

Aeon Technology Partners, a systems integrator supporting small to mid-sized corporations, received a mandate from one of its government agency clients for a comprehensive project control capability. The client wanted Aeon to provide a centralized, highly available Project Portfolio Management (PPM) solution for all project information-and it had to be accessible any time and from any place. This client also required document control with check-in and check-out capabilities, including version control. Finally, Aeon was asked to capture chargeable time at various levels, including billable and non-billable time by project phases and tasks-all for a team that didn't work in one place.
"Program management was all over the place. Most of the team is based in one location, but management needed to see immediate status from any location," said Glenn Henry, Aeon's Senior Partner and Director of Federal Services.
Solution
Innotas' on-demand PPM solution proved to be the right fit for Aeon. "I travel most of the time, and Innotas provides excellent value by enabling real-time access to current project status information and key company documents anytime, anywhere," said Henry.
Innotas also met government guidelines on configuration management, which simplified compliance for Aeon. And unlike the deployed solution Aeon had previously tried, Innotas was easy to set up on internal government servers.
Once the decision was made, Innotas assisted Aeon in making its PPM system production-ready in just two weeks. "We experienced ease-of-setup, low training costs for users, and low IT support costs," said Jim Conerly, Senior Program Manager at Aeon.
Once live, Aeon achieved visibility into consolidated project status information and enforcement of standards and methodologies. In addition, the system helped Aeon with content management and offered a centralized repository for all Project Management Office (PMO) data.
Results
For Aeon, the biggest benefit was the ability to share program and project status reports, work plans and deliverables with a rapidly expanding audience. By mirroring the project's work design in the Innotas environment, Aeon was able to rapidly create an effective team.
The Aeon team can now easily create custom reports to meet the needs of its government client. "The ease of time entry by our consultants helps us keep track of project financials in near real-time," said Conerly.
Aeon simply extracts data from Innotas directly into its accounting and payroll systems. "We've gained efficiency-and justified the expense-by having timely, accurate reports available at all levels and a weekly review of project expenses. Plus, the 24/7 visibility has significantly improved our program management efficiency," he added.
In addition to client-facing project management, Aeon now uses Innotas to plan and control its own services marketing efforts. "Integrated data provides visibility we never had before," said Conerly. "Now we can anticipate changes in project schedules before they happen."
