As companies trend toward outsourcing HR, benefits and payroll, they look to companies like ADP for automated time collection and payroll processes to ensure accuracy, while gaining tighter control of employee time.

This market trend has enabled ADP Time and Labor Management (TLM) to achieve 35-40 percent revenue growth for the past five years, making it the fastest growing business in the company's National Accounts Division. "At any given time, we are implementing 120+ ADP Time and Labor Management solutions to new customers," said Ann Huffty, Vice President of Implementation for ADP's Time and Labor Management business unit. "We needed a Project Portfolio Management software solution to better manage all of these customer implementation projects."

With a backlog of customer implementations, and a full pipeline, maximizing efficiency was absolutely critical to the profitability of ADP's National Accounts Division.

ADP's Time and Labor Management customer implementation data was spread across disparate systems, making it impossible to provide real-time status on all customer implementations. "We had the data, but it was in spreadsheets and project plans sitting on hard drives," said Huffty. "It was impossible to see what was happening in the portfolio, and management decisions were becoming a guessing game."

TLM needed a Project Portfolio Management system that could provide visibility into consolidated information, manage project financials, and optimize resource profitability, while at the same time enforcing standard project methodologies.

Solution

After looking at PPM solutions from three other companies, ADP TLM selected the pure on-demand PPM solution from Innotas.

"As hosted service providers ourselves, we understood the value proposition and made on-demand PPM a requirement during our vendor selection," said Vivian McDonald, Resource Director for TLM. "We didn't want our resources working on internal IT functions. Any available resource we have must be billable - we need them implementing our customer solutions."

Getting up and running on Innotas PPM was fast and simple. "We had users entering customer implementation data less than three weeks after kicking off with Innotas," said Huffty. "We now have instant visibility into all of our customer implementations, and we can generate consistent reports regarding the health and status of each customer project."

Additionally, ADP TLM gave its sales organization access to the Innotas PPM solution, which enabled TLM to better manage its backlog of customer implementations. "Now, the sales organization can see where customer projects are in implementation life cycle," said Huffty. "This not only improves the communication between sales, the implementation teams and the customer, it also fosters stronger relationships with our customers from the outset."

Working in tandem with the sales organization, ADP leverages the Innotas PPM solution to track and report on prospects in Time and Labor Management sales cycle. Visibility into the customer pipeline enables ADP TLM to predict and request resources for new customer implementations, maximizing resources and increasing profitability.

Results

Integrating its implementation data in Innotas has given ADP TLM visibility into all of its projects - both current projects and those coming down the pike. "With Innotas, we can see in advance when a bulge in our pipeline is coming, and we can plan ahead for it," said McDonald.

ADP's ability to better plan for customer implementations has resulted in increased efficiency of the Time and Labor Management implementation teams. "Getting a handle on the backlog, alone, has had a direct impact on the profitability of our business unit," said Huffty.

The efficiency gain in the billing process, alone, generated the ROI to justify ADP TLM's investment in the Innotas on-demand PPM solution. Before Innotas, each project leader spent one hour per week generating a spreadsheet to report the implementation team's billable time. These spreadsheets then had to be consolidated across the entire business unit. McDonald now runs a report every Monday that is sent to Finance. "It takes less than five minutes, and project managers don't have to do a thing," said McDonald.
